In the past, there have been concerns that private email within CRM could be seen by other users who shouldn’t see it, because email in CRM has been accessible by any user. We have just released a new email permissions feature for Pipeliner CRM that will ease anyone’s mind about integrating email with CRM.
With Pipeliner’s new Email Permissions feature, companies can now decide how they want email to be shared, within CRM, with others within the company. There is no longer any reason not to take full advantage of powerful email integration features within Pipeliner CRM.
Choice at Admin Level
To begin with, the company decides what choices to provide users when it comes to email privacy, based on their own policies regarding company email. The Pipeliner CRM administrator can then set email sharing rights for each role within the company. There are three options:
Public only—the content of all emails sent to and received by users based on this role will be shared to all CRM users who have rights to see the contact or account the emails are linked to. Users cannot change the default sharing settings of emails, but can manually change sharing settings on individual emails.
Private only—the content of all emails sent to and received by users based on this role will be hidden. Users cannot change the default sharing settings of emails. But can manually change sharing settings on individual emails.
User will decide—the user has the option to share or hide the content of their own emails on an email-by-email basis—or, the user can select their own default preference for emails when setting up their email integration.
Admins also have the ability to exclude all emails from specific domains, with the Email Domain Blacklisting feature.
Choice at User Level
On an email-by-email basis, the Pipeliner user who is the sender or a recipient in the To: field of an individual email can change the sharing permissions of that individual message so that the content is:
Private—visible only to themselves and other users who were cc’d on the email.
Public—visible to all other Pipeliner users.
Custom—shared with specific users chosen individually by name or because the users are assigned to the selected sales unit(s).
Again, the user cannot change the default settings of emails.
